First login & setup wizard
When you sign up at koolay.com, an admin account and a tenant (your nonprofit's workspace) are created automatically. The first time you log in, the setup wizard walks you through the essentials.
What the wizard asks for
The wizard is broken into a small number of steps, each of which is independently saveable — you can leave and come back without losing progress.
1. Organization profile
- Legal name + display name
- EIN (Employer Identification Number — used to pre-fill your IRS metadata)
- Mission statement
- Primary contact email + phone
- Mailing address
If your EIN is in our nonprofit database (and 1.9M of them are), Koolay auto-fills your NTEE code, formation year, and 990 history. Skip the typing.
2. Branding
- Logo (PNG/SVG, transparent background)
- Primary color
- Optional secondary/accent color
These flow directly into your public site and emails.
3. Domain
- The free
*.koolay.comsubdomain is already wired up. - If you have a custom domain (
yourorg.org), the wizard guides you through DNS setup. We provide CNAME and A records — you paste them at your registrar (GoDaddy, Namecheap, Cloudflare, whatever).
4. Payment
- Connect Stripe to accept donations. The Stripe Connect onboarding takes ~5 minutes — you'll need your EIN, bank account, and an authorized signer's information.
- Optionally enable PayPal as a fallback.
5. Plan selection
- Every new tenant starts on a 14-day Growth trial — every Growth-tier feature unlocked, no credit card required. Pick a paid plan before day 14 to keep them.
- You can change plans any time from Account → Billing & Plan.
Skipping & returning
You can dismiss the wizard at any step and return to it from Account → My Profile → Setup. Half-completed steps show a yellow dot in the sidebar so you don't forget.
Inviting your team
Once your org profile is set, head to Account → Users to invite the rest of your team. Each user gets:
- An email + password account, with optional MFA.
- A CMS role (viewer / editor / admin) per tenant.
- Optional per-panel permissions if you need finer control (e.g. a treasurer who sees donations but not grant drafts).
Invitations are sent by email; users click through, set a password, and they're in.
Common first-login surprises
- "My EIN doesn't auto-fill." Some EINs (very new orgs, or churches without 990 filings) aren't in the IRS public dataset. You can enter the data manually.
- "My logo looks fuzzy." Upload at least 512×512 PNG or SVG. The platform serves it as-is.
- "Stripe says my account isn't verified." Stripe verification can take 24–72 hours after onboarding completes. Donations work in test mode meanwhile; switch to live mode once verified.
